Technical Administrator

Role Overview

This is an administrative and coordination role at the heart of the service department. You will be responsible for ensuring technicians are properly scheduled, jobs are accurately recorded, customer communication is maintained, and all administration is completed correctly from booking through to invoicing.

This role would suit someone who enjoys structure, thrives in a busy environment, and takes pride in keeping processes organised and running smoothly.

Responsibilities

  • Schedule and coordinate daily technician appointments and service calls.
  • Allocate jobs and ensure all job information is captured accurately.
  • Track jobs from initial booking through to completion and invoicing.
  • Liaise with customers regarding appointments, updates, and service requirements.
  • Maintain accurate job records, reports, and service documentation.
  • Monitor outstanding jobs and proactively resolve delays or bottlenecks.
  • Coordinate workshop repairs and equipment movements.
  • Assist with technician administration, timesheets, and reporting.
  • Support the technical team with general operational and administrative requirements.
  • Produce regular reports on job status, technician activity, and service performance.

Requirements

  • Grade 12 (Matric).
  • Previous experience in administration, service coordination, logistics coordination, or a similar role.
  • Excellent organisational and time management skills.
  • Strong attention to detail and a high level of accuracy.
  • Confident communicator with strong customer service skills.
  • Proficient in Microsoft Office, particularly Outlook and Excel.
  • Ability to manage multiple priorities and work under pressure.
  • Reliable, accountable, and proactive.
  • Experience in a technical, service, workshop, logistics, or operations environment is advantageous.

  • Highly organised and detail-oriented.
  • Strong with administration and paperwork.
  • Comfortable dealing with customers and technicians.
  • Able to identify problems early and follow them through to resolution.
  • Takes ownership and does not let tasks fall through the cracks.
