Synopsis
About the Role
MyTalent Software is looking for a professional, organised and friendly Receptionist to join our team at our Pinelands office.
The Receptionist will be the first point of contact for visitors, clients, candidates, suppliers and internal team members. This role requires someone who is well-presented, reliable, confident on the phone, organised, and able to support the smooth day-to-day running of the office.
The successful candidate will assist with reception duties, diary management, telephone handling, office administration and general support across the business.
Key Responsibilities
The Receptionist will be responsible for:
- Welcoming visitors, clients, candidates and suppliers in a professional and friendly manner.
- Answering incoming calls and directing them to the correct person or department.
- Taking accurate messages and ensuring they are passed on timeously.
- Managing reception and front-office duties.
- Assisting with diary management and scheduling meetings where required.
- Coordinating meeting room bookings and preparing meeting areas.
- Supporting general office administration.
- Assisting with filing, scanning, printing and document management.
- Receiving deliveries and liaising with couriers or suppliers.
- Supporting internal staff with day-to-day administrative tasks.
- Keeping the reception area and shared office spaces neat and presentable.
- Assisting with candidate, client or visitor sign-in processes.
- Helping with basic email communication and follow-ups where required.
- Maintaining office supplies and reporting stock requirements.
- Supporting management and operations with ad hoc tasks as needed.
Key Responsibilities
Required Skills and Experience
The ideal candidate should have:
- Previous receptionist, front desk, office assistant or administrative experience.
- Good telephone etiquette and communication skills.
- Strong organisational skills.
- Basic computer literacy, including email, Microsoft Word and Excel or Google Workspace.
- Ability to manage diaries, appointments and meeting schedules.
- Good attention to detail.
- Ability to multitask and prioritise daily duties.
- Professional written and verbal communication skills.
- A friendly, calm and helpful approach.
- Ability to handle confidential information responsibly.
- Reliability and good timekeeping.

Reporting Line
The Receptionist will report to the Operations Manager or another manager designated by the Company.
Employment Type
Full-time position, subject to the Company’s standard employment terms, probation period and performance expectations.
