Motor Industry Customer Support Administrator
Are you immediately available with strong administrative skills and experience using Xero or other accounting software?
Our client in the motor industry, based near Panorama, is looking for an organised Administrator to manage vehicle service bookings, job cards, invoicing, payment follow-ups, and accurate customer records on the CRM system.
Previous experience in a similar automotive environment will be advantageous.

REQUIREMENTS
- Matric, or related qualification
- Tertiary qualification in Administration will be advantageous
- 2-3 years' experience in an administrative role, preferably in the automotive industry
- Solid experience with Xero or a similar system
- Proficient with CRM and job management software systems (any)
- Strong attention to detail
- Answer incoming calls and assist customers
- Maintain accurate customer records in the job management system
- Prepare quotations and invoices using Xero
- Create, schedule and manage installation jobs and projects
- Allocate jobs to technicians and coordinate installation appointments
- Monitor installation progress and update job statuses
- Liaise with customers and technicians regarding appointments
- Update job management system on project progress and outstanding matters
- Set up products and customer pricing in the job management system
- Prepare job cards and ensure all installation details are captured accurately
- Review completed job cards and photographs, and follow up on any missing or incorrect information
- Close completed jobs and issue invoices once installations have been verified
- Send customer statements and follow up on outstanding accounts
- Maintain accurate customer, vehicle, installation technician and accounting records
