Imports, Exports and Clearing Manager

Our client is seeking an experienced Imports, Exports & Clearing Manager to oversee and strengthen the end-to-end import and export logistics function within a fast-paced seafood distribution environment.

The role is responsible for ensuring smooth cargo movement, full customs compliance, and efficient coordination across shipping lines, transporters, cold storage facilities, and internal stakeholders. The successful candidate will drive operational efficiency, cost control, and timely shipment execution while ensuring all regulatory and documentation requirements are met.


KEY RESPONSIBILITIES: 
  • Oversee and manage the full clearing and forwarding function, including import and export operations, documentation, and logistics coordination
  • Lead and organise the clearing and forwarding team to ensure efficient daily operations
  • Ensure all shipments are correctly documented, cleared via EDI, and released timeously through Customs and relevant authorities
  • Monitor, apply for, and manage all regulatory permits (ITAC, DAFF, Rebate permits), ensuring renewals are submitted within required timeframes
  • Track all shipments and provide weekly vessel and operational updates to senior management
  • Coordinate bookings with shipping lines and airlines, including freight negotiations and rate requests
  • Manage cargo due orders, shipping instructions, and release documentation for all consignments
  • Ensure timely delivery and collection of containers within free time to avoid demurrage and additional costs
  • Coordinate transport arrangements and delivery schedules with cold stores, transporters, and logistics partners
  • Handle import and export documentation including Certificates of Origin (EURO 1), airfreight releases, and customs paperwork
  • Liaise with shipping lines, customs authorities, Port Health, DAFF, and other regulatory bodies to resolve shipment issues
  • Monitor customs deferment accounts and ensure financial controls are maintained
  • Analyse shipping routes and logistics options to optimise cost, efficiency, and environmental impact
  • Prepare freight quotations, invoices, and shipment costings
  • Oversee SAP updates, PO planning reports, and system data accuracy
  • Ensure compliance with all customs regulations, company policies, and international trade laws
  • Manage issue resolution for detained, stopped, or delayed cargo until final release
  • Support procurement and finance teams with shipment-related documentation and payment processes
  • Drive continuous improvement in clearing and forwarding processes and systems
 REQUIREMENTS:
  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, or a related field
  • Minimum of 5 years’ experience in a Clearing and Forwarding or Customs Logistics environment
  • Strong knowledge of customs procedures, import/export documentation, and freight forwarding processes
  • Experience working with SAP and MS Office (Excel, Word, Outlook)
  • Excellent communication skills, both written and verbal, across all business levels
  • Strong analytical, problem-solving, and critical thinking abilities
  • High attention to detail with strong organisational skills
  • Ability to work under pressure, meet tight deadlines, and manage multiple priorities
  • Strong leadership skills with the ability to manage and coordinate a team
  • Understanding of shipping lines, freight negotiation, and logistics coordination
  • Knowledge of regulatory bodies such as Customs, DAFF, ITAC, and Port Health
  • Must have own reliable transport
