Import Documentation Clerk

We currently looking for Import Documentation Clerk who will be responsible for managing and processing all import-related documentation to ensure the smooth clearance and movement of imported cargo.

Minimum Requirements:
  • Grade 12 / Matric
  • Relevant qualification in Shipping, Logistics, Supply Chain, or Freight Forwarding advantageous
  • Minimum 2–3 years’ experience in an Import Documentation role
  • Must have strong imports experience
  • Must have documentation experience within shipping, logistics, freight forwarding, or clearing & forwarding environment
  • Knowledge of customs and import procedures
  • Computer literate (MS Office, especially Excel and Outlook)
  • Experience working on freight or clearing systems advantageous.
Key Responsibilities:
  • Prepare, capture, and process all import documentation accurately and timeously
  • Handle import files from receipt through to final delivery
  • Ensure all shipping and customs documents are complete and compliant
  • Verify Bills of Lading, invoices, packing lists, permits, and clearing instructions
  • Liaise with shipping lines, freight forwarders, transporters, clearing agents, and customers
  • Track and monitor import shipments and provide status updates to clients
  • Ensure cargo is cleared within required timelines to avoid storage and demurrage costs
  • Submit and maintain accurate documentation records and filing systems
  • Follow up on outstanding documents and resolve documentation discrepancies
  • Ensure compliance with customs regulations and company procedures
  • Assist with invoicing and cost capturing where required
  • Maintain effective communication with internal departments and external stakeholders.
