Executive Assistant / Administrator - Medical Practice in Gardens

Do you enjoy being one step ahead of the owner of the business, anticipating all needs required daily to run a successful Medical Office for a Specialist?

This role includes personal assistant duties, administration, logistics and invoicing.  We require an individual who likes to be front of house and loves dealing with clients.
 
Hours:  7am – 3.30/4 pm

REQUIREMENTS
  • Matric, additional education advantageous
  • Prior relevant experience advantageous
  • Well spoken in Afrikaans and English
  • Computer literate with the ability and initiative to learn new programmes where necessary
  • Competent with managing social media
  • Mature personality and professional approach to customers
  • Own vehicle and transport essential
  • Strong administration experience
  • Ability to multi-task and manage invoicing
  • Essential to be able to arrive at work by 7am daily

DUTIES
  • Reporting directly to the Specialist surgeon managing calendar appointments (professional & personal)
  • Manage all patient enquiries via telephone, WhatsApp, email, social media, and online platforms, ensuring responses within prescribed timeframes.
  • Book travel, manage personal errands, organise family appointments
  • Liaise with suppliers, brands, and partners
  • Prepare confidential documents and assist with presentations or academic work
  • Administrative & Sales Duties
  • Manage patient file accuracy, digital data capture, and POPIA compliance
  • Support product sales at front desk, explaining skincare/treatment benefits confidently
  • Maintain front-desk inventory
  • Ensure all administration including consent forms, pre-op and post op information is up to date
  • Work with Medical Aids, Debtors & Creditors
  • Ensure customers have the best service and the daily flow of appointments runs smoothly
  • Maintain front-desk inventory of skincare, implants
  • Patient admin, consent forms, pre-op and post op information
  • Billing for the Plastic Surgery Practice
  • Work with Medical Aids, Debtors and Creditors
  • Social Media Management of different accounts
 
 
Salary: R18000 plus commission on product sales, negotiable dependent on experience
