We are seeking an experienced and detail-oriented Administrative Supervisor to oversee branch administration, financial processes, stock control, and rental operations. The successful candidate will play a key role in ensuring efficient branch operations, accurate reporting, and excellent customer service.

Key Responsibilities

  • Supervise and support administrative staff to ensure efficient day-to-day operations.
  • Monitor team performance through coaching, guidance, and performance management.
  • Maintain and update rental fleet information on the ERP system.
  • Ensure all customer documentation, lease agreements, and payments are completed before unit dispatch.
  • Manage billing processes, including pre-billing, escalations, credit notes, and off-hire notices.
  • Ensure accurate billing in accordance with lease agreements.
  • Maintain units-not-billing reports and resolve billing discrepancies.
  • Handle and resolve internal, customer, supplier, and debtor queries.
  • Coordinate insurance claim submissions and supporting documentation.
  • Manage stock control processes, including stock counts and ERP updates.
  • Process delivery and return documentation within agreed turnaround times.
  • Reconcile transport and siting accounts monthly.
  • Process purchase orders and verify transport and siting rates.
  • Ensure compliance with health, safety, quality, and environmental standards.
  • Maintain high housekeeping and operational standards.

Minimum Requirements

  • Matric (Grade 12).
  • Diploma or Degree in Administration, Logistics, Stock Control, or a related field.
  • 3–5 years' experience in an administrative, stock control, logistics, or supervisory role.
  • Proficiency in ERP systems and Microsoft Office.
  • Strong administrative, planning, and organizational skills.
  • Excellent communication and problem-solving abilities.
  • Previous supervisory experience is advantageous.
