Administrative Supervisor

Rentals Administration & Stock Control SupervisorPurpose

To manage and take ownership of the branch rentals administration, financial processes, and stock control functions.

Key ResponsibilitiesTeam Leadership & Performance Management

  • Ensure all subordinates have the skills and knowledge to carry out their functions efficiently and effectively.
  • Drive positive departmental performance through objective setting, coaching, counselling, and performance management.
  • Ensure compliance with company policies and procedures.

Reporting & Administration

  • Complete and submit all daily, weekly, and monthly reports accurately and within required timeframes.
  • Maintain and update rental fleet descriptions and grading details on the ERP system.
  • Ensure all customer documents, lease agreements, and payments are in place prior to dispatching units.

Billing & Financial Administration

  • Manage the billing process, including pre-billing, escalations, credit notes, and off-hire notices.
  • Ensure all units are billed according to the relevant lease agreements.
  • Maintain and monitor the units-not-billing report.
  • Ensure timely resolution of internal, customer/debtor, and supplier queries.
  • Facilitate the preparation and submission of insurance claims.

Stock Control & Logistics Administration

  • Ensure stock counts are accurately completed and updated on the ERP system within agreed timelines.
  • Process delivery and return documentation within agreed turnaround times.
  • Ensure transport and siting accounts are maintained and reconciled monthly.
  • Process purchase orders and verify that transport and siting rates are accurate.

Compliance & SHEQ

  • Ensure compliance with company and client SHEQ requirements, codes of conduct, and all statutory regulations.
  • Maintain high housekeeping standards at all times.

 

MINIMUM QUALIFICATION: 
• Matric (Grade 12)
• Diploma/Degree in Stock Control/
Logistics/ Admin

MINIMUM EXPERIENCE:

Minimum 3 to 5 years relevant
experience. 

KNOWLEDGE & SKILLS:

• ERP and MS Office package skills.
• Good communication skills.
