Administrative Assistant
Job Description
Administrative Assistant (Membership & Events) – Table View, Cape Town – Hybrid – 3-Month Contract(Opportunity for extension up to 12 months, subject to performance and business requirements.)
Must have quiet working space at home.
Requirements
- Grade 12.
- Experience in administration, membership management, event coordination, or a similar role.
- Strong organisational and time management skills.
- High level of accuracy and attention to detail.
- Excellent written and verbal communication skills, including the ability to prepare basic reports.
- Ability to communicate professionally with members, stakeholders, suppliers, and service providers.
- Ability to manage multiple tasks and prioritise effectively.
- Proficient in Microsoft Office (particularly Word) and Google Workspace (Gmail, Google Drive, and Google Calendar).
- Basic financial administration skills, including preparing invoices and reconciliations.
- Experience with membership management systems, event registration platforms, and database management systems will be advantageous.
- Experience using Canva or similar graphic design software.
- Basic knowledge of LinkedIn and other social media platforms.
- Ability to work independently, take initiative, and perform effectively within a small team environment.
- Must be willing to attend regular in-person meetings with the General Manager and other organisational activities as required.
- Applicants should preferably reside in or around Table View, Bloubergstrand, Melkbosstrand, Milnerton or surrounding areas.
- Must have own reliable transport & laptop.
- As this is hybrid, this person must have a quiet working space at home.
- Provide administrative and operational support to the General Manager.
- Respond to membership enquiries and assist with membership applications, renewals, and onboarding.
- Maintain accurate membership records and databases.
- Coordinate the administrative aspects of events, including registrations, attendee communications, website updates, and event platform management.
- Assist with newsletters, email communications, promotional materials, and social media content.
- Schedule Board and Committee meetings, prepare meeting documentation, attend online meetings, take minutes, and distribute meeting minutes and action lists.
- Maintain accurate organisational records and ensure documentation is appropriately filed within Google Drive.
- Coordinate bookings, obtain quotations, and liaise with suppliers.
- Assist with financial administration, including preparing invoices, event reconciliations, and following up on outstanding invoices and membership renewals.
- Provide general administrative support and assist with additional duties as required.
