Administrative Assistant (Property Management)
Our client is seeking a highly organised and service-oriented Administrative Assistant to provide comprehensive support across property administration, financial administration, rental coordination, compliance, and health and safety functions. The successful candidate will play a key role in ensuring smooth daily operations, maintaining regulatory compliance, supporting financial accuracy, and upholding the professional standards and reputation of the organisation.
DIMENSIONS
Financial
- Upload payments received on MRI MDA platform and perform debtor reconciliation.
- Assist with day-to-day queries and requests
Property Administration
- Assist with drafting Operator Agreements.
- Assist with administration of property documentation on MRI MDA.
- Assist with property inspections and maintenance and compliance.
- Maintain safety registers and implement protocols
- Request COID Letters of Good Standing.
- Assist Coordinator to draft and manage SHE service provider documentation, Safety Files and inspections, and monthly submissions.
- Assist with scheduling of Toolbox Talks, Consultant meetings and Incident investigation.
- Assist with managing office supplies, correspondence, and telephone calls.
- Digitise and upload documents to MRI MDA and shared drives under guidance and supervision of the Property Coordinator.
- Assist with updating of rental accounts and participate in monthly billing meetings.
- Assist with contractor compliance and collate quotes / invoices.
- Manager tenant waiting list.
- Assistance with draft and renew lease agreements.
- Assist Coordinator to investigate tenant complaints.
- Matric with minimum of 2 years strong property administrative experience including good working knowledge of Health & Safety requirements.
- Rental and property administration experience will be beneficial.
- Excellent English and Afrikaans; strong MS Office Skills
- MRI MDA software experience will be beneficial.
- Strong organisational, interpersonal, and problem-solving abilities.
- Ability to work independently and maintain confidentiality.
- Outstanding maturity and interpersonal skills
- Exhibit strong confidentiality awareness and sense of accountability.
- Strong document management (filing, tracking compliance records)
- Familiarity with OHS Act (Act 85 of 1993) and basic regulations (incident reporting, PPE, training records, etc.) will be highly beneficial.
- First aid training knowledge.
- Exposure to audits and safety systems.
- Good data capturing and reporting skills.
