Admin Assistant / Junior Bookkeeper
Job Description
A well-established company specialising in IT Services and Strategic Consulting is looking for an organised, detail-oriented and professional Admin Assistant / Junior Bookkeeper to join their team in Pinelands, Cape Town.Key Responsibilities
- Assist the Financial Director with basic bookkeeping using Xero.
- Perform general bookkeeping and administrative duties as required.
- Handle incoming client calls in a professional, courteous and friendly manner.
- Assist clients with basic enquiries and log IT support requests on the MSP Management System. Training will be provided.
- Communicate professionally with clients, internal staff and external stakeholders.
- Manage emails, correspondence and general office administration.
- Organise and schedule appointments, meetings and travel arrangements.
- Prepare reports, documents and correspondence.
- Take meeting minutes and distribute relevant documentation.
- Maintain accurate and organised filing systems and contact lists.
- Assist with regularly scheduled reports and administrative processes.
- Maintain and update office policies and procedures.
- Order office supplies and assist with researching suppliers and pricing.
- Submit and reconcile expense reports.
- Provide general administrative support to the team.
- Act as a point of contact for internal and external clients when required.
Requirements
- Matric.
- Previous bookkeeping experience is essential.
- Practical experience and proficiency in Xero is essential.
- Xero certification will be advantageous.
- Previous experience in an Administrative Assistant, Office Administrator, Secretary, PA, Executive Assistant or Junior Bookkeeper role.
- Previous experience within the IT industry will be advantageous.
- Proficiency in MS Office.
- Excellent verbal and written communication skills.
- Fluent in English and comfortable communicating with professional clients.
- Strong organisational and time-management skills.
- Ability to prioritise and manage multiple tasks effectively.
- Excellent attention to detail and a methodical approach to work.
- Strong problem-solving skills.
- Professional, reliable and client-focused.
- Comfortable handling incoming client calls when required. This is not a receptionist role.
